Role Overview

Summary/Objective: The Human Resources Coordinator is responsible for providing support to the Human Resources department by accurately maintaining employee data within our Workday HRIS and internal record systems. This role is crucial for ensuring data integrity, supporting HR operations, and maintaining compliance with company and legal standards.

 

*This is a hybrid role, working two days per week in our Irving Corporate Office.*

 

Essential Responsibilities: 

  • Accurately enter, update, and maintain employee records in Workday and internal tracking systems, including new hires, background check status, and drug test results, ensuring data integrity and timeliness.
  • Ensure completion of all onboarding documentation and pre-employment requirements (e.g., background checks, drug screenings, I-9 forms) before the employee’s start date.
  • Perform regular audits of employee records to verify compliance with company policies and regulatory requirements, including I-9 verification and pre-employment screenings.
  • Follow up new hires, recruiters, managers, and other stakeholders to ensure timely completion of onboarding tasks, including Form I-9 processing in Workday.
  • Process and approve employee data changes such as employment status updates, compensation adjustments, one-time payments, bonuses, and payroll inputs with accuracy and timeliness.
  • Upload completed agreements into Workday and follow up with relevant department to obtain and resolve any pending documentation related to employee changes or compensation.
  • Monitor, track, and respond to employment verification, status changes and worker changes requests daily using the internal ticketing system (Zendesk), ensuring timely, accurate responses in compliance with company policies and privacy regulations.
  • Generate and distribute standard and ad hoc HR reports from Workday for audits, compliance, and internal management use.
  • Maintain strict confidentiality of all employee records and sensitive HR data, adhering to all privacy laws and internal policies.
  • Collaborate with the broader HR team on special projects, system enhancements, and process improvements to support operational efficiency.
  • Respond to internal HR data inquiries and proactively resolve discrepancies or inconsistencies.
  • Uphold and promote NorthStar Anesthesia’s Core Values through all interactions and responsibilities.

Key Deliverables: 

  • All employee records (new hires, job changes, terminations, etc.) are entered and updated in Workday within established SLA timelines (e.g., 24–48 hours).
  • Background checks, drug screenings, and onboarding documents are completed and verified before the employee’s start date, with zero delays caused by documentation gaps.
  • Active participation in process enhancement initiatives and system improvement projects with documented contributions or feedback.
  • Timely closure of onboarding tasks in Workday, with consistent follow-ups to ensure all Form I-9s and required onboarding actions are completed by stakeholders.
  • Prepare and report a bi-weekly data integrity report to senior management.
  • Other duties, responsibilities, and activities may change or be assigned at any time with or without notice.

Qualifications:

  • High School Diploma, GED or associate degree
  • 1–3 years of experience in HR, administrative support, or data entry roles, preferably in a corporate or healthcare environment.
  • Experience handling onboarding processes, background checks, and I-9 verification is a plus.

Knowledge:

  • Strong understanding of HR processes, particularly onboarding, employee record management, and data confidentiality.
  • Working knowledge of Workday or similar Human Resources Information Systems (HRIS).
  • Familiarity with employment laws and compliance requirements related to Form I-9, background checks, and pre-employment screenings.
  • Knowledge of payroll data elements such as compensation changes, bonuses, and one-time payments.
