Summary/Objective: The Senior Payroll & Tax Specialist performs multiple duties involving payroll taxes, and duties related to processing, and reporting of bi-weekly payroll tax.
*This position offers a hybrid work arrangement, combining remote flexibility with on-site presence at our Irving, TX office two days per week.
Essential Functions: (all job-related functions)
- Responsible for quarterly tax balancing and filing of tax returns in all jurisdictions across all FEINs to ensure the accuracy of both Workday and ADP.
- Calculation of pre-tax and post-tax deductions to determine taxable income and validation of taxes.
- Manual calculation of payroll taxes (Social Security, Medicare, Federal, etc.) and compensation including retro pay.
- Review of Multi-state jurisdictions and set up of taxes for state and local jurisdictions.
- Reviews and reconciles tax notices on a timely basis. Liaise with federal/state/local tax offices and ADP as necessary.
- Maintains all payroll state and local IDs, SUI tax rates, and state set up in both Workday and ADP.
- Registration of state and local tax accounts by FEIN when necessary
- Assists the Payroll Tax Manager with payroll-related actions during mergers & acquisitions.
- Provides the Payroll Tax Manager and departments throughout the company with payroll tax information needed to carry out assigned responsibilities.
- Assist in the development and documentation of various Payroll tax initiatives designed to streamline the process and scale with the organization.
- Partners closely with HR, Benefits, and Operations teams to ensure accurate payroll taxes and works to develop and improve processes.
- Keep up to date with changes in federal and state payroll regulations, training staff as needed.
- Prepare ad hoc reports as needed periodically to assist in management reporting.
- Helping employees resolve tax issues troubleshoot areas they may be experiencing problems. Building personal relationships with our employees to assure them their payroll tax needs are being met.
- Auditing Workday tax changes for accuracy that comes across payroll which includes but are not limited to job/data changes, W4, State and local tax changes.
- Hybrid Schedule – Requires 2 days a week in Irving Office, other days remote.

Qualifications:
- 5+ years of experience in all areas of payroll processing, deep knowledge of tax laws and general knowledge of accounting practices
- Associate degree in the field of Accounting or Business Administration a plus
- Experience with Workday payroll, timekeeping and HCM modules
- Multi-state payroll and payroll tax experience, required
Knowledge, Skills, and Abilities:
- Certified Payroll Professional (CPP), desirable
- Prefer Experience with ADP Smart Compliance
- Strong functional capabilities with Excel, Word, and PowerPoint
- Experience in the healthcare industry is a plus
- Ability to work in a fast-paced and fluid environment
- Strong problem-solving skills and attention to detail
- Strong personal motivation with the ability to work with little supervision and attention to detail while working in a deadline-driven environment
- Ability to communicate clearly and concisely across multiple levels within the company as well as between internal and external stakeholders.
